Budget Letter 2025

Dear Holiday Hills Condo Association Owners,
Enclosed is the 2025 proposed Master Budget for Holiday Hills Condo Association.
 
The meeting to ratify the budget will be held at 9 a.m. Saturday, November 16th, 2024 at the COA Office located next to Lakes O building at 196 W Rockford Drive in Branson, Missouri. In an effort to conduct a productive meeting, your Board of Directors request that all questions and concerns that need to be addressed be submitted in writing prior to the meeting
 
The Master Board has not approved a dues increase since 2021. The Master Board is recommending an increase for 2025. This is primally due to the 31% increase in insurance cost for the COA for 2025. 
In addition, the Association must consider future expenses and rate increases from service providers, along with aging infrastructure which requires additional investment for repairs to the COA buildings to meet and maintain a quality standard of living here at Holiday Hills.
The monthly dues are based upon your square footage of your condo. The new dues will be as follows;
Oaks: currently $90.00 – increased to $108
Bluffs: currently $127.00 – increased to $ 153
Pinnacles: currently $149 – increased to $179 for the 2/2. and currently $180 – increased to $216 for the 3/3
Lakes: currently $182 – increased to $218, currently $183 increased to $220, currently $185 increased to $223, currently $198 increased to $237 and currently $206 increased to $247.
After careful consideration, and review, the Master Board approved the 2025 budget on October 14, 2024 to be mailed out to all owners.  
 
The by-laws require 51% of owners must reject the purposed 2025 budget in order for the budget to not be approved.  If the budget is not passed for the upcoming year, the existing budget would continue, and the association would not be able to pay for building insurance, and other expenses for 2025.

Oaks Construction

Construction to repair the walkway area between units 202 and 203 along with 302 and 303 will begin September 27th. The contractors are ahead of schedule which is the reason for the last-minute posting. This may cause some inconvenience due to noise and construction work. This may also cause owners and guest to be re-routed to exit and enter the building from opposite ends of the building. Please beware of construction equipment, material and watch your step. Any questions contact the COA office.

Lakes K Owners,
 
Construction to repair the entryway next to the bridge on Lakes K Building in the area in front of units 5 & 6 will begin next week September 23rd or possible the week after September 30th . This may cause some inconvenience due to noise and construction work. This may also cause owners and guest to be re-routed to exit and enter the building from the grass area on the lower level. Please beware of construction equipment, material and watch your step. Any questions contact the COA office.
Rockford Drive Gates

Lakes Owners,
 
Currently the gate on the entrance side on Rockford Drive is closed due to the control panel on the key pad not working. The exit gate was damage due to a large truck hooking the gate and pulling it off when exiting the resort. The gate company has been contacted and is currently working on repairing both gates. The COA ask that you use caution when exiting and entering the resort from that location. If your unit is on the nightly rental program, please info your guest to use caution.
No Open Flame Grills at Holiday Hills COA

With the Labor Day Weekend a few days out, a reminder the use of open flame cooking devices such as charcoal and gas grills are prohibited at Holiday Hills COA because of the following ordinance by the Western Taney County Fire Protection District.
 
Section 308 Open Flames
308.3.1 Open-flame-cooking devices. Charcoal burners and other open-flame cooking devices shall not be operated on combustible balconies or within 10 feet (3048mm) of combustible construction.

Outdoor Pool Schedules for September and October 2024

Here are the schedules for the outdoor pools around the resort for September and October.
  • Grill on the Greens Outdoor Pool will close September 4th, this pool uses the pool cards.
  • COA pool located across from Lakes G Building will close September 9th.
  • Crown Street Pool, Presidential Pool/Pinnacles Pool and the Camp Ground Pool will remain open through October 1st  according to HICV. Hours will remain 10:00am to 10:00pm at this time. Subject to weather conditions.
2024 Annual Meeting & Special Assessment

2024 ANNUAL MEETING
The Annual Condo Owners’ Meeting was held at 9 am on Saturday, May 4, 2024, at the Holiday Hills COA Office. Condo Owners. 
 
Master Board members present at the meeting was Thom Renfro, Art Gumtau, and Galen Pearcy. LaJean Wilson and Sam Groves was absent. Five condo owners were present at the meeting. 
 
Thom Renfro welcomed all owners to the annual meeting and introduced the Master Board, along with Denice and Charles Bart of Bart & Brown Property Management.  He stated that the business of this meeting was to elect officers and update condo owners on affairs of the association and address any concerns.  
 
Denice Bart stated the names of the current individual board members and the members running for the board positions. Ballots were tallied and the board members were elected for a three-year term.  
 
Thom Renfro, President stated the association has no delinquent owners. Thom also stated that the association currently has $15,000 in reserves and $1,500 in the checking account for a total of $16,500. The association owns one Pinnacle condo that produced net income of $10,128 for 2023.  
 
Denice stated the association has spent over $65K from the reserve funds to cover cost for the Fire System repairs that was required by the Taney County Fire Marshal.  The association anticipates another $25K to cover the remaining repairs for the Fire Protection System to stay in compliance with the Fire Marshal. 
 
Due to the amount of expense from the Fire Systems, the COA has had to use reserve funds to cover the cost. To replenish those funds and stay in compliance with the State of Missouri, the COA will implement a special assessment in amount of $150.00 for all COA owners for 2024. The amount will need to be paid by August 1, 2024. If the amount is not paid by the due date, a late fee of $25.00 for each month after that until paid. Special Assessment of $150.00 must be paid by dropping off or mail in a check or money order.  Payment of ACH cannot be made for the assessment.  
 
The Master Board has not raised the dues since 2021. The Master Board is considering a dues increase for 2025. The Holiday Hills Condo Association infrastructure is also aging which requires additional investment for repairs and replacement cost to maintain and meet a quality standard of living at Holiday Hills.
The Holiday Hills Condo Association Board works hard on maintaining a high standard of appearance, maintenance, repair and services to the association.

Loss Assessment Coverage

Dear Condo Owner,
 
It is important that Condo Owners are well informed of the Condo Owners Association (COA) master insurance policy and understand their responsibilities should a loss occur from weather related windstorm and hail damages.  It is the responsibility of the condo owner to obtain appropriate individual unit coverages.  Each Condo Owner is required to have a minimum of $20,000 per-occurrence of “Loss Assessment Coverage”.  The COA has been informed the cost to add this coverage to your personal condo policy is minimal.
 
Each Condo Owner will be required to email/mail/fax the COA a Certificate of Insurance of your policy by March 1st, 2024 that reflects the “Loss Assessment Coverage”.
 
Should you have any question regarding individual/Condo Owner insurance coverage please contact your personal insurance agent.
 
Also, if you need a renewed insurance certificate for your mortgage company contact Ollis/Akers/Arney Insurance at 417-334-5115.

Pool & Pool Card Info for 2024

 Listed below is information pertaining to the outdoor pools and pool cards for the 2024 season.
 
  • Pool cards can be dropped off at the COA office starting on March 4, 2024 for reactivation. Allow 2 to 3 days for the process since COA pool cards are reactivated through Holiday Inn Club Vacation not through the COA.
  • Cost for replacement or purchasing new pool cards check with COA. The COA will not order a new pool card until payment is received. Cash or check only, as the COA does not accept payment with debt or credit cards.
  • If a pool card is being picked up by someone else besides the owner, the owner will need to e-mail the COA that individuals name and the condo unit before the COA will sign out the card. 
  • The hours for all the outdoor pools on the resort will be 10:00am to 10:00pm.
  • The indoor pool is still not available to COA owners, guest or tenants.
  • Landing Fitness is still offering NCR Weekly Family Passes and individual membership rates for owners. For Additional information call 417.243.1010 and ask for Stacy.
  • According to Holiday Inn Club Vacation the Hot tub located at the outdoor pool at Grill the Greens should be open for the 2024 season.
  • Grill on the Greens which is the club house, their current hours of operation are 9:00am to 5:00pm. COA owners only, will receive a 10% discount on food.
  • Hours for the game room at the Welcome Center are 7:00am to 9:00pm

Lakes I Building Maintenance

Dear COA Owners, Tenants and Guest: Lakes I Building
 
Staring on March 17, 2024 thru March 22, 2024, all parking spaces in front of Lakes I building will need to remain open for repair and maintenance to be completed. The Contractor will be using a large lift to work on Lakes I building. To ensure the work can be completed and no damage to vehicles, all cars will need to be parked on the opposite side of the parking lot or in another parking location. 
Vehicles parked in the parking spaces in front of Lakes I building during this time will be subjected to towing at owner’s expense.
The COA realizes this will be an inconvenience for owners, tenants and guests during this time of repair and maintenance. The goal is to get Lakes I building back to normal as soon as possible along with improvements and upgrades that will help the owners at Holiday Hills. We thank you for your patience and cooperation. Winterize Your Unit

With winter approaching and temperature dropping, the COA would like to reminder owners to TURN ON condo HEAT to prevent pipes from freezing when condos are not in use over the winter months.
 
 
WINTERIZE YOUR UNIT
If your unit is vacant for more than 48 hours during the winter season, you must shut off the main water valve and the electricity to the unit hot water heater. Water shut off is located inside the unit. 
 
 All Owners Must:
- Keep thermostat set at 55 degrees to maintain sufficient heat in the interior of the unit to keep the pipes and fire sprinkler system from freezing. 
 
- Turn off your water & hot water heater breaker when unit is vacant.
 
- Open the cabinet doors under all sinks to allow heat to the pipes.
 
- Open washer/dryer room doors to allow heat to the pipes.

Spring/Summer Update

Owners,
 
 Below are informational updates for the Spring & Summer 2023 season at Holiday Hills Resort.
·         The new walkway bridges at the Pinnacles H & I buildings have been installed, with final improvements continuing through the month of March. The walkway bridge at Pinnacles K building will have minor repair work completed in April. The completion of the pinnacle bridges may vary due to weather.
·         Pinnacles H & I railings will be painted this spring and summer.
·         New door gates have been installed on the dumpster areas. A reminder, discard only trash in the dumpsters as outlined on the signs and use the entrances into the dumpster area. Keep the usage of the main double doors for the trash company only.
·         The green gates on Rockford Drive are currently working and have been serviced for the upcoming season. If high winds do occur, the gates will be opened due to the wind knocking them out of sync.  
·         The Tennis Court in front of Lakes G building on Rockford Drive is scheduled to be repaired and resurfaced in the summer of 2023.
·         Power washing of the buildings will begin in April of 2023, to include the front of the buildings and walkway areas.
·         The largest project for the COA in 2023 will be the repair, sealing and striping of the parking lots. The COA is currently on the list, at this time no confirmed start date. The COA expects spring or early summer of 2023. Some prep work has started. Once the COA has a start date, owners will be notified. This will affect all parking lots in front of the buildings while the work is being completed.
·         Outdoor Pools on the resort will open Memorial Day weekend staring on Friday May 26th, 2023 and close Labor Day Weekend September 5, 2023. Dates may be extended depending on weather conditions.
·         Pool Hours for the outdoor pools will be 10:00am to 10:00pm.
·         Pool Cards will be required for entry at the Main Large Outdoor pool located next to Grill on the Greens. Pool Cards will need to be reactivated. Pool Cards need to be brought to the COA office and dropped off starting now thru May 12th to have your pool cards ready for the Memorial Day Weekend.  Allow three to four days for your pool card to be reactivated and returned to the COA office for pick up. All other outdoor pools will not need a pool card for entry.
·         To purchase new pool cards or replace loss cards, the cost will be $25 per card. Pay by check or cash at the COA Office. Make check payable to Holiday Hills Condo Association.
·         The Hot Tub at the Grill on the Green Pool will be not operational for most or at all during the 2023 summer season as HICV corporate office plans on replacing it.
·         The COA will not require transfer of pool cards to new owners with the purchase of a condo, that will be an option between buyer and seller. Pool Cards will still need to be reactivated each year.                                       
·         The designated parking area for recreational trailers, such as boats, jet skis, motorcycles, four wheels, etc. is located at the COA office at 196 W. Rockford Dr, Branson, MO. Prior to arrival, guest/owner must be informed that above recreational trailers are not permitted at buildings and will need to acquire a trailer parking pass from the COA office or owner prior to arrival. Recreational Trailers may be parked up to 7 days in the designated parking area and available on 1st come 1st service availability. There is no permanent parking for trailers on the resort. At this time campers are not allowed on the resort.
·         The road repair and bridge repair over the ponds on Rockford Dr that was purposed in 2021-2022 by HICV has been postponed.
·         The Welcome Center has made improvements to the fitness center and game room area to include a market place.
·         Landing Fitness offers membership discounts to owners, along with weekly and daily passes for guest. Weekly Family Pass $50, day pass person individual $5. ·         Emergency Contact maintenance number is for owners, guest that have a maintenance issue need to call the owner of the condo they are staying at or the nightly rental company that manages that condo. If you have listed the COA office number 417.334.8364 or 417.294.7310 in your condo for guest to call for maintenance, please remove those numbers.

Tree Trimming

Tree Trimming will begin on October 3, 2022 and continue through October 7, 2022. The contractor will have caution cones or construction tape out to mark off designated areas that will be used for the tree trimming. If a designated area is marked off, in or around your building please do not cross or park in this area. Cars that are or do park in the designated area will be towed. NO RUNNING OR JUMPING inside the condo at ANY TIME
NO LOUD NOISES (inside or outside) at ANY TIME
Quiet hours begin at 10pm to 8am
NO LOUD talking, laughing, music on the back deck after 10pm
If you check in/arrive after 10pm – please be quiet as some residents live here permanently and go to work the following day.   DO NOT ROLL your suit cases on the floor during quiet hours.
NO FIREWORKS on PROPERTY
NO open flame cooking, charcoal or gas grills, they are prohibited at the condos, condo buildings and parking lots.
If arriving with a recreational trailer, the designated trailer parking is located at 196 W. Rockford Dr across from the COA office. Look for the designated parking signs next to the light pole.

Pool Cards

A reminder to have Pool Cards reactivated, purchased and picked up by May 19, 2022. After the May 19th date, no guarantee the Pool Cards will be ready for the Memorial Day Weekend. The Pool Cards will only be for the outdoor pool located at the Grill On The Greens. All other outdoor pools will not need a pool card. Outdoor Pool hours will be from 10:00 am to 10:00pm. Pool hours at the Grill On The Green Pool may vary through the pool season.

Lakes Building Power Wash

Starting on Monday April 4, 2022 maintenance will begin power washing the Lakes Buildings start with Buildings A & B on Monday April 4th. The schedule is subject to change because of weather or unforeseen circumstances. Please remove any items in front of your condo that you do not want power washed or wet. Power washing will begin at 8:00 am.

The Holiday Hills Golf Course is currently re-doing and working on the bunkers. At this time only nine holes of golf are available. The work will take place over a period of 3 months. For addition information or questions about the golf course, please contact the pro shop at 417-334-4840.

 - Turn off your water (inside your condo) & hot water heater breaker when unit is vacant.
- Open the cabinet doors under all sinks to allow heat to the pipes.
- Open washer/dryer room doors to allow heat to the pipes.
 
If your unit is vacant during the winter season, you must SHUT OFF the main water valve inside your condo and the hot water heater breaker.  Water shut valve off is located inside the condo. If you cannot locate your condo shut off valve inside your condo, please contact a plumber to install one.

Outdoor Pool Update

Owners,
 
All outdoor pools will be open for the summer except the Crown Plaza Pool. The Lakes Pool is currently open with all other pools opening by Friday May 28th. The card reader for the outdoor pool at Grill on the Greens has currently not been installed. According to HICV the reader will be installed within the next couple of weeks(believe it when you see it).
 
Mask update at the activities center as of May 27th, guest are not required to wear mask at the activities center.

Pool Cards can now be brought to the COA office for activation for the large outdoor pool located next to Grill On the Greens. Holiday Inn Club Vacation has installed a card reader at that pool. Pool Cards can be dropped off after hours in the drop box in an envelope to include contact information (please allow two to three days for the cards to be reactivated for pick up). For replacement cards see below. The other small pools located around the resort will not have a card reader on them. The Lakes Pool and Grill on the Green Pool are approximately scheduled to open May 28,2021 and remain open thru September 5,2021. These dates are subject to change depending on the weather and COVID-19 restrictions. If the weather is warm and sunny, the opening date may be moved up and the closing date moved back. The remaining outdoor pools on the resort to include the Pinnacles pool, Campground pool and the Crown Court pool for opening will be subject to COVID 19 restrictions being lifted by the State of Missouri. Holiday Inn Club Vacations will base these pools opening off those guidelines by the state.
 
Pool Cards will also be used for checking out activity equipment, videos and games at the activity center located at the Welcome Center. If owners, tenants or guest wish to checkout those items out, the pool card will be used for those items. Items not returned will be charged to the COA and the COA will then charge the owner of the unit for the non-returned item or items. A reminder by HICV mask are required at the Welcome Center.
 
A flyer has been attached from Landing Fitness. The flyer will include a special rate for owners who would like to join as members and quest who would like to use the facilities on a day by day bases. This will include an indoor pool, work out facility and fitness classes. For questions, call the number on the flyer directly. They will also give you free tour of the facility. Along with the Landing Fitness Flyer is the April Activities Calendar for the Actives Center Located at the Welcome Center at Holiday Hills Resort. (Welcome Center 417.334.4443 ext. 0 ask for Activities Center)
 
Owners will also receive a 10% discount on food from Grill on the Greens Restaurant. This discount is for owners only, this will not apply to guest or tenants staying at the resort. A meal discount card will be available to owners May 3, 2021 and will be available for pick at the COA office.
 
 
Replacement Cards: If pool access card is lost, stolen, damaged or nonworking, all additional replacement cards will cost $50.00 at the owner’s expense with a minimum turnaround time of 14 days for replacement. Payment of replacement card is due at time of reissue. The card being replaced will be deactivated and non-usable.

Main Entrance Security Updates

The main entrance (Golf Course Entrance) to the resort starting the week of March 2nd, 2020  will have a gate arm installed at the guard shack. Security will be checking vehicles for proper tags, permits and passes. ALL OWNERS & GUESTS MUST display in their vehicle the proper identification (vehicle permits/guest visitor pass) to have access thru this gate. ALL NIGHTLY RENTAL GUESTS will need to have the visitor pass displayed in their vehicles prior to their arrival on property.
Loss Assessment Coverage Letter to Owner's

Dear Condo Owner,
 
Effective October 18, 2019, Holiday Hills COA will be renewing its master insurance policy with American Family Insurance. The COA’s Master Policy deductibles effective October 18, 2019 will be changing to a 5% per-location deductible for losses caused by windstorm or hail damages.  For all other covered losses, the deductible will remain the per-occurrence $5,000 dollar amount specified in our policy. However, the Earthquake coverage deductible is now 10% of each building.
 
Due to the 5% windstorm and hail deductible per location increase and the change in the policy, the COA’s will REQUIRE all Condominium Owners to purchase or add a “Loss Assessment Coverage” to the Owners Condominium Policy to cover the cost of the portion of the 5% per-location deductible due to windstorm or hail damages. Each owner will be assessed and required to pay if a claim is filed due to windstorm and hail damages.   
 
It is important that Condo Owners are well informed of the COA’s master insurance policy and understand their responsibilities should a loss occur from windstorm and hail damages.  It is the responsibility of the condo owner to obtain appropriate individual unit coverages.  Each Condo Owner is required to have a minimum of $10,000 per-occurrence of “Loss Assessment Coverage”.  The COA has been informed the cost to add this coverage to your personal condo policy is minimal.
 
Each Condo Owner will be required to email/mail/fax the COA a Certificate of Insurance of your policy by November 30, 2019, that reflects the “Loss Assessment Coverage”.
 
Should you have any question regarding individual/Condo Owner insurance coverage please contact your personal insurance agent. Additional information about “Loss Assessment Coverage” along with examples have been included with the COA letter.

Liberty Utilities

Holiday Hills owners and residents on November 28, 2018 the Missouri Public Service Commission approved an increase in the annual water operating revenues of Liberty Utilities under the provisions of the Commission's small utility rate case procedure. The Commission has approved an increase of $836,000 in Liberty's annual water operating revenues and an increase of $201,500 in Liberty's annual sewer operating revenues, effective December 8, 2018. A letter has been sent out to customers by Liberty Utilities showing the rate increase. HHR Parking Permit for Recreational Vehicles

No boats, trailers, campers, canoes, jet skis, or any other recreational vehicle should be parked or stored in the parking lots. 
Holiday Inn Club Vacation Resort has removed all designated parking for the above recreational vehicles. The Resort is currently looking into a new location for a designated parking lot location for boats, trailers and recreational vehicles. 
Therefore, arrangements will need to be make for offsite parking until further notice. 
Contractor construction trailer permits will be issued at the Condo Association office prior to any remodel work of the owner’s condo.   
 
2021 PEST CONTROL SERVICE

2021 PEST CONTROL SERVICE
The Homeowner’s Association currently sprays the exterior of all buildings during the months of March –October (include termite inspection) completed in October.
 
If you would like to schedule interior of your condo sprayed monthly or as needed call Priority Pet Control at 417-827-3098.  There is a $15.00 monthly fee for this service. You will need to pay Priority Pest Control directly for the service.
Golf Carts

This is to inform homeowners that according to the by-laws of our association, golf carts are not allowed on homeowner association property.  We have discussed this with the golf course and they have agreed to help us enforce our by-laws.

Keys Required In Case Of Emergency

Unfortunately most floods and fires come during the night when it can be very difficult to reach you or your Nightly Rental Company.  Therefore, the Board requires that the Homeowners Association Office be provided with a key and or access code in order for maintenance and fire department personell to gain access to your condo in case of flood or fire.
There was a recent emergency at an owner's condo that required immediate entry and we had no key to their condo.  Therefore, this has prompted us to be proactive to insure this doesn't happen again.
If the Homeowners Association Office does not have a key or access code to your condo at Holiday Hills, please provide one asap.
If the Office is not provided with a key and if we have to gain emergency access, we will have no choice but to allow the fire department to enter by any means they deem necessary.  The damages will be at the owners cost.
The keys are kept in a locked and safe room for emergency use ONLY.

No Open-Flame Grills Allowed

The use of open flame cooking devices such as charcoal and gas grills are prohibited at Holiday Hills because of the following ordinance by the Western Taney County Fire Protection District.

SECTION 308  OPEN FLAMES
308.3.1  Open-flame cooking devices.  Charcoal burners and other open-flame cooking devices shall not be operated on combustible balconies or within 10 feet (3048mm) of combustible construction.
 
 
Electric grills are the ONLY grill allowed on your back patio.
 
You are welcome to use the resort and common ground grills that are located throughout the resort property.
 
Resort Animal Rules

Your dog must be leashed in your hand and may not be tethered to the property.
 
You must be able to handle your animal when walking. 
 
It is imperative that you immediatley pick up all droppings your dog leaves behind.
 
They must not disturb your neighbors or their guests.  Please make sure they aren't barkers.
 
You may not raise animals or have a breeding business in your condo.
 
Please do not feed any outside animals as this causes numerous issues.
 
If you see a stray animal, please call Animal Control at 417/334-4544.
Trash Dumpster Awareness

Trash disposal guidelines have been mandated by our trash service. Any deviation results in additional charges that are billed to the Association. No appliances or furniture is to be left in the dumpster area. Any resident / owner in violation may be billed the charge levied on the Association. Please call the Association Manager for questions or alternate locations for disposal of larger objects.
